How to Install the 2009 Year End IRD (Interim Release Download)

Please read the entire document carefully. This document contains specific steps for successful IRD installation.
Skipping any step may result in incorrectly aligned forms or missing boxes. Always make a full backup before installing.

Installation Instructions:

Notes:

  • Verify that the previous year's IRD has been installed as instructed in the How to verify that IRDs are Installed section below. This is required to ensure the accuracy of your data and proper form alignment.
  • Print the layout for each W-2 form before resetting your forms. Use the printed layouts to reenter any customized settings afterward.
    Note: On version 4.10 and earlier, also print the 1099 layouts.
    1. Expand Modules, Payroll, and then Period End. Double-click W2 Form Printing.
    2. Select the appropriate form from the W2 Form To Print field.
    3. Click the Form button to open the Forms Customizations window.
    4. Click the Print button.
    5. Repeat for each form listed in the W2 Form To Print field.
  • This IRD is supported only with the following versions:
    • Sage MAS 90 and 200 3.71, 4.00, 4.05, 4.10, 4.20, and 4.30
    • Sage MAS 200 - SQL Server Edition 3.71, 3.72 , 3.73, and 3.74

Sage MAS 90 or 200 4.30:

  1. Install the 2009 IRD

Sage MAS 90 or 200 4.20:

  1. Verify that the 2008 IRD is already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 90 or 200 4.10:

  1. Verify that the 2005, 2006, 2007 and 2008 IRDs are already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 90 or 200 4.05:

  1. Verify that both the 2005, 2006, 2007, and 2008 IRDs were already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 90 or 200 4.00:

  1. Verify that the 2004, 2005,  2006, 2007, and 2008 IRDs are already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 200 - SQL Server Edition 3.74:

  1. Verify that the 2008 IRD is already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 200 - SQL Server Edition 3.73

  1. Verify that the 2006, 2007, and 2008 IRD are already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 200 - SQL Server Edition 3.72

  1. Verify that the 2004, 2005 , 2006, 2007, and 2008 IRDs are already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

Sage MAS 90 or 200 3.71, including SQL Enterprise Edition:

  1. Verify that the 2003, 2004, 2005, 2006, 2007, and 2008 IRDs are already installed. For more information, see the How to verify IRDs are installed section below.
  2. Install the 2009 IRD.

How to verify that IRDs are Installed:

  • 2008 IRD:
    1. Expand Payroll, and then Period End.  Double-click W2 Form Printing.
    2. Click the Preview button
    3. Verify that the Social Security Number is displaying at the top of the form.
    2007 IRD:
    1. Expand Payroll, and then Period End.  Double-click W2 Form Printing.
    2. Click the Preview button
    3. Verify that the Social Security Number is displaying at the top of the form.
  • 2006 IRD:
    1. Expand Payroll, and then Period End. Double-click W2 Form Printing.
    2. In the Box 12 Codes field, enter 1.
    3. If the "1" is not retained, the 2006 IRD 2006 is not installed.
      Note: This does not apply to 4.20 which already includes the 2006 IRD. The actual code “AA” (without quotes) will be accepted on version 4.20.
    2005 IRD:
    1. Expand Modules, Accounts Payable, and then Main. Double-click Vendor Maintenance.
    2. Select a vendor with 1099 history.
    3. Click the Additional tab.
    4. At Default Form, Select Miscellaneous Form.
    5. Click the 1099 History button, and verify that the following fields exist:
      • 15a  409a Deferrals
      • 15b  409a Income
    6. Expand Payroll, and then Period End. Double-click W2 Form Printing.
    7. In the Box 12 Codes field, enter Q.
    8. If the “Q” is not retained, the 2005 IRD is not installed.
  • 2004 IRD:
    1. Expand Modules, Accounts Payable, and then Main. Double-click Vendor Maintenance.
    2. Select a vendor with 1099 history.
    3. Click the Additional tab.
    4. At Default Form, Select Dividend Form.
    5. Verify that the 2b Unrecap sec 1250 gain field exists.
      Note: If  Box 2b shows Post May 5 Capital Gain Distr, the 2003 IRD is installed but not 2004.
  • 2003 IRD:
    1. Expand Modules, Accounts Payable, and then Main. Double-click Vendor Maintenance.
    2. Select a vendor with 1099 history.
    3. Click the Additional tab.
    4. At Default Form, Select Dividend Form.
    5. Verify that the 1b Qualified Dividends field exists.

Installing IRDs for previous year:

IRDs for 2003, 2004, 2005, 2006, 2007, and 2008 are available on the Sage MAS 90 and 200 support page on Sage Online. Click the Interim Release Download link in the Downloads area.
Note: You must perform the data conversion for each IRD before installing the next.

  1. Install the first year's IRD.
  2. Launch Sage MAS 90 or 200.
  3. Expand Modules, Accounts Payable, and Main. Double-click Vendor Maintenance.
  4. Perform the data conversion.
  5. Close Sage MAS 90 or 200.
  6. Install the next IRD as needed. Repeat until the 2009 IRD is installed.

The release of the 2009 Year End Program Changes IRD contains enhancements
for Payroll and Electronic Reporting:

PAYROLL

A new field, FLI Private Plan No., has been added to the W2 Form Printing screen
and is only available when the State Data check box is selected.

A line for the FLI Private Plan No and Description has been added to the
W2 Form Detail for W2 Form Types Laser 2 per page, Single Wide and Laser
4 per page.

NOTE: The FLI private plan number prints only for the state of New Jersey.
You must use the Forms Customization task to print the private plan number
on the W-2 form.

For reporting New Jersey Family Leave Insurance on the W2-Form, be sure the
following tips or Service Updates have been downloaded before installing the
IRD:

Note: In Tax Table Maintenance, if the SDI Rate display is .059% (which is SDI
Rate of .50% plus the FLI Rate of .09%), after downloading the above program fixes
you need to go to Table Tax Maintenance, select NJ. Enter SDI Rate of .50% and
the FLI Rate field of .09%. Click Accept.

ELECTRONIC REPORTING

1099 Electronic Reporting has been modified according to the Internal
Revenue Service's 2009 Publication 1220. The following changes have
been made:

"B" Record
Payment Amount F position 223-234 is now zero filled
Payment Amount G position 235-246 is now zero filled

"C" Record
Control Total F position 268-285 is now zero filled
Control Total G position 286-303 is now zero filled

"K" Record
Control Total F position 268-285 is now zero filled
Control Total G position 286-303 is now zero filled
